Schedule and manage classes at your studio
Classes are the core of your studio's schedule. Vygor uses a template-based system to make scheduling fast and consistent.
Templates vs. Scheduled Classes
Class Templates
A template defines the "blueprint" for a class. It includes the name, description, image, and base price. By using templates, you don't have to re-enter this information every time you add a class to your schedule.
Scheduled Classes
A scheduled class is a specific instance of a template occurring at a specific time and date. This is what customers see on your schedule and book into.
Scheduling a Class
When you schedule a class, you'll need to specify options such as:
- Name: The title of the class as it appears on your schedule.
- Date & Time: When the class starts and ends.
- Image: A photo or graphic shown on the class listing.
- Description: A short summary of what the class is about.
- Teacher: The staff member who will be leading the class.
- Price: The base cost for a student to book the class.
- Capacity: The maximum number of students allowed in the class.
Recurrence
For classes that happen regularly (e.g., Every Monday at 5:00 PM), you can set up a Recurrence. Future instances of the class will be automatically generated based on your settings, saving you the work of manual scheduling.
Managing Attendance
Capacity and Waitlists
Each class can set a max capacity. Once a class is full, a Waitlist automatically started.
- If a student cancels their booking, the first person on the waitlist is automatically moved into the class.
- Students are notified via email when they are moved from the waitlist into the class.
Checking In
On the day of the class, you can use the Check-In dashboard to track attendance. This helps you keep accurate records of customer participation and ensures that your analytics data is correct.
Notifications
Vygor automatically handles important communications regarding classes:
- Booking Confirmations: Sent immediately after a student books a class.
- Payment Confirmations: Sent after a successful payment, including a receipt of the transaction.
- Schedule Changes: If you change the time, teacher, or location of a class, Vygor will automatically notify all booked customers of the update.
Unlisted Classes
If you have a private session or a special event that shouldn't be visible on your public schedule, you can mark it as Unlisted under a class's Advanced settings. These classes can only be booked via a direct link or by an admin.
Class Tags
Class Tags are labels used to categorize and organize your classes (e.g., Yoga, HIIT, Beginner). Assigning tags makes it easy for customers to filter your public schedule and find exactly the style or level of class they are looking for.
You can assign Class Tags directly to a Class Template (which automatically applies them to all scheduled instances of that template) or add them to individual Scheduled Classes.
Customizing Class Tags
To customize and manage the list of Class Tags available at your studio, navigate to Settings > Class Tags in your dashboard. From here, you can create new tags, edit existing ones, or delete tags that are no longer in use.
